Refund & Cancellation Policy

This page documents how billing and cancellation actually work on Flowprise today. It does not describe aspirational refund terms or a self-service billing system that does not exist.

Effective: November 2026 Applies to flowprise.tech

Direct Billing Model & Consumer Transparency: Flowprise operates on an invoiced, direct billing model with upfront, transparent terms. We do not engage in unauthorized auto-debits or surprise renewals. We provide an accessible free tier so every organization can thoroughly evaluate the platform before entering into a commercial agreement.

For paid subscriptions, refund requests submitted within 7 calendar days of initial payment are eligible for full review and refund processing where service access was not delivered or experienced prolonged outage.

1. Free plan

Flowprise offers a free plan that requires no payment method and is not charged. Because no payment is ever taken on a free plan, there is nothing to refund. Free-plan limits may change, and the free plan may be modified or discontinued with notice.

If you upgrade from free to a paid plan and later decide not to continue, your organisation returns to the free plan. What happens to data you created while on the paid plan is covered in section 7.

2. Paid subscriptions

Paid plan tiers are advertised on the pricing section of our site, quoted per organization. Because billing is arranged directly with Flowprise, the following is true of every paid subscription today:

  • Paid access begins when Flowprise confirms your subscription in writing and issues an invoice or payment request.
  • Your plan, its price, its currency, and its billing period are all stated on that invoice.
  • The billing period and any renewal terms are those written on the invoice, not defaults on this page.
  • Your plan is not auto-renewed by any system inside the platform. Renewal happens only when Flowprise issues a new invoice and you agree to it.

If you were shown a plan in the product with a particular period or price, and your invoice differs, the invoice governs. Please raise the discrepancy before paying.

3. How to cancel

There is no self-service cancellation inside Flowprise. To cancel, email support@flowprise.tech from the account administrator's address, stating that you wish to cancel and identifying your organization.

On receiving a cancellation request, Flowprise will:

  1. Confirm receipt and confirm which organization and plan you mean.
  2. Tell you the exact date your paid access ends, and what happens to your data.
  3. Confirm the final invoice position, including whether anything is outstanding.

We ask that you export any records you need before your paid access ends, because access to paid features stops at the end of the paid period you have already paid for. Access to historical exports is not withheld to make leaving difficult.

4. Billing periods and proration

Billing periods are monthly or annual, as stated on your invoice. Flowprise does not currently calculate proration automatically. If you cancel part-way through a paid period:

  • Your paid access continues to the end of that period. You are not charged again.
  • Any question of a partial refund for the unused remainder of the period is decided case by case by Flowprise, as described in section 5.
  • If you upgrade mid-period, the new plan's price and start date are confirmed to you in writing before it applies.

5. Refund requests

Flowprise does not offer automatic refunds. A refund is not a standard entitlement under your subscription and is not guaranteed to be granted. Refund requests are reviewed individually.

To request a refund, email support@flowprise.tech and include:

  • Your organization name and the administrator's email address.
  • The invoice or payment reference the request relates to.
  • The date of the charge.
  • Your reason for the request.

Flowprise will respond with a decision. Because payments may be processed by a third-party provider, any approved refund is returned through the original payment method and is subject to that provider's processing time.

5.1 Grounds considered

Refund requests are more likely to be considered favourably where:

  • Flowprise failed to deliver a paid capability that was specifically agreed with you.
  • A charge is duplicated or was taken in error.
  • A material service fault prevented use of paid features and was not resolved within a reasonable period.
  • A charge was taken for a plan you were not on, or for a period you did not agree to.

Refunds are less likely where paid features were substantially used and the request is based on changing requirements, an overlooked decision, or a business outcome rather than a Flowprise failure.

5.2 What is not refundable

Please note the following, which reflects how Flowprise operates rather than a generic template:

  • Unused time remaining in a period you have already paid for, unless Flowprise agrees otherwise under section 5.1.
  • Paid usage that has already been delivered, including generated reports and document exports.
  • Professional services or custom work, if separately quoted and separately invoiced.
  • Amounts already refunded.

6. Failed and late payments

Flowprise does not currently operate automated chargeback retry or dunning inside the platform. Where a payment fails or is overdue:

  1. Flowprise contacts the account administrator by email to arrange payment.
  2. Paid plan features may be limited while an amount remains outstanding.
  3. Your data remains yours and exportable while your account is open. We will not delete your records to recover an invoice.
  4. If an amount remains unpaid and cannot be resolved, the account may be suspended, after notice to the administrator.

7. Downgrade, account termination, and your data

7.1 Downgrade to free

When a paid subscription ends, your organization returns to the free plan. Records you created are not deleted as a result of downgrading. Where your data exceeds free-plan limits, it may become read-only until you reduce it or upgrade again. We will tell you if this applies.

7.2 Account closure

To close your account entirely, email support@flowprise.tech. Closure removes your organization's access to Flowprise and its business records.

Closure is permanent and cannot be undone. Export your data first — the export and deletion tools remain available to you until deletion is carried out, and the Privacy Policy explains what deletion covers.

8. Taxes

Invoices state applicable taxes where they are required. If you believe you have been charged tax you should not have paid, raise it with support@flowprise.tech and include your invoice reference and jurisdiction.

9. Contact

For all billing, cancellation, and refund matters, contact the Flowprise team at support@flowprise.tech. Please quote your organization name and any invoice or payment reference so your request can be actioned quickly.
